Title: Observations Logistics Coordinator
Department: Observation Services
Reports to: Observation Services Manager
Type of Position: Full time (Hybrid Role, requiring 1-3 days per week in-office depending on project needs)
Hours per Week: 40
Pay: Exempt
Level: Individual Contributor

We are looking for a scheduling and people ops coordinator to make up a critical component of our Observation Services team. You are someone who possesses excellent customer service and people skills, a high attention to detail and enjoys working in a fast-paced team-oriented environment.

Primary responsibilities include but are not limited to:

  • Coordinate the scheduling and rescheduling of classroom observations by remote field staff through the use of email communication tools, survey software and Google office software
  • Assist project team with day-of site communications
  • Develop and support strong working relationships with remote field staff and clients
  • Manage multiple Salesforce case queues and related communications
  • Work closely with project team and clients to ensure scheduling communication is accurate
  • Maintain clear records of all scheduling changes

    Coordinate and track background checks and contracts for each observer
  • Coordinate training, calendars & documentation for observers
  • Define and document standard operating procedures and efficiencies for scheduling of observations
  • Support the project team in tracking the details of all observations
  • Support various observation projects simultaneously
  • Train other schedulers and support staff on the use of scheduling tools
  • In-office administrative tasks as assigned; including scoresheet management and auditing
  • Other duties as assigned

Role Qualifications:

  • At least 1-3 years of relevant experience
  • Proficiency in Google office software (Gmail, Google Docs, and Sheets)
  • Fluency in English is required, knowledge of additional languages is a plus
  • Ability to multitask, prioritize and manage time effectively
  • Strong attention to detail
  • Exemplary organization, written, and interpersonal communication skills
  • Think at both a big-picture and detailed level
  • Comfortable working in person, in the cloud, remotely, and using video software for meetings.

Preferred Qualifications:

  • Bachelors' degree or an equivalent combination of education and experience
  • Working knowledge of Salesforce and Timesheet Mobile
  • Experience with Pandadoc, Asana, and Toggl
