Responsibilities

Overview

The Medical Records Department Manager shall be primarily responsible for ensuring adherence with the medical record request and receipt functions of the CERT program. The Medical Records Manager shall be indirect communication with the Program Director and provide technical assistance to the CMS CERT staff, as necessary.

 

Responsibilities:

  • Responsible for a diverse team of 50 employees.
  • Provides oversight of customer service center, provider enrollment validation team, cursory medical review team .
  • Provides oversight of the medical records workflow process including initial requests, logging and tracking, distribution, storage, destruction and/or forwarding of all medical records.
  • Monitors all stages in the production cycle.
  • Initiates and implements interventions necessary to address or prevent any disruptions to the medical record workflow.
  • Ensures timely processing of project deliverables related to medical records.
  • Coordinates the assignment of medical records for claim review and IQC functions.
  • Provides oversight of the record imaging system.
  • Opens and correctly routes all mail relating to the distribution and workload processes.
  • Produces and submits required reports according to established content and time guidelines.
  • Ensures departmental compliance with quality management system and ISO requirements.
  • Determines and coordinates the education and training for the department staff.
  • Develops and approves departmental policies and procedures for the medical records unit.
  • Effectively communicates with the customer, stakeholders, and employees.
  • Performs other projects and responsibilities as assigned by the Program Director.

 

 

 

Qualifications

 

 

Requirements:

 

  • Bachelor’s Degree or equivalent related experience
  • 6 - 9 years experience

 

 

The Medical Records Department Manager shall possess a combination of experience meeting the following criteria:

  • A minimum of three (3) years of supervisory/managerial experience related to file and record management
  • A minimum of five (5) years general related experience, which includes experience with electronic medical records and the electronic transmission of medical records
  • Certification as a Registered Health Information Administrator (RHIA) or similar

 

 

Preferred Education and Experience: 

  • Knowledge and working experience with the Medicare program
  • Certification as Accredited Records Technician Certification
  • Minimum of four (4) years experience managing routine operations in a large medical records department

Physical Requirements: 

  • Communicate verbally and respond to verbal communications in person and over the phone
  • Communicate clearly and succinctly in writing, primarily utilizing a keyboard
  • Engage in intermittent physical activity, including bending, reaching, lifting, filing, and prolonged periods of sitting
  • Travel minimally, via car or plane, which requires ability to manage luggage, laptop, and briefing materials (up to 25 pounds)
